Open Position: Administrative Support

We have an immediate opening in an established non-profit organization for an experienced Administrative Support person with excellent writing and verbal communication skills, and experience with overall administrative office functions, desiring to work with a staff community dedicated to the values of compassion, service, and interdependence.

The job entails working in a team environment supporting daily operations in our home office located in Albuquerque, New Mexico, USA. Position provides administrative support to the Educational Services Team and the Administrative Director. Administrative Support:

  • Collect, coordinate materials for articles and edit Annual Report
  • Note taker for teleconference meetings

Database Liaison:

Act as staff liaison with the IT Coordinator to assure that the database needs of the office staff, CNVC Projects manages, and the Education Services Team are met.
This includes:

  • Work with the current staff and team members to understand the current systems
  • Work with the IT Coordinator to understand current plans and goals to consolidate and unify CNVC database functions.
  • Represent these teams by collecting and providing requests for functions and features, collect and provide feedback and input during the design and implementation of solutions.
  • Assist in testing functionality developed for the above teams.

Educational Services Team Support:

  • Providing support to CNVC Certified Trainers, community and general public
  • Providing documents for final steps for certification
  • Adding and revising CNVC Certified Trainers’ profile status on CNVC web site and CNVC Trainers Distribution Group
  • Receiving and reviewing final documents for certification
  • Creating announcements for new CNVC Certified Trainers
  • Providing miscellaneous support to Certification Coordinator and Administrative Director
  • Supporting trainer renewal/re-certification by reading trainer reports, track trainers’ status’ for Admin Team, help trainers post reports on web site, etc.
  • Note taker for Educational Services Team meetings
  • Sending reminders about upcoming Educational Services team meetings
  • Maintaining trainer database (access program)
  • Serving as public contact person for trainer certification support

Projects:

  • Working as liaison on approved projects with Administrative Director
    • Receive requests for fund disbursements
    • Receives and co-monitors reporting from project coordinators
    • Maintain log of project information changes
    • Maintain log of disbursement/reporting around various CNVC projects
    • Coordinate with web master on CNVC projects inclusion on web site
      • additions, revisions, and removal.

Human Resources, (substitute backup to Administrative Director):

  • Working conjointly with Administrative Director (AD) to create office policies
  • Creating and maintaining office procedures manual (in consultation with relevant department heads and AD)
  • Coordinating staff health and dental insurance coverage, including international medical and dental coverage
  • Reviewing employee payroll and expense reports
  • Actively involved in weekly staff meetings; facilitates as needed.
  • Keeping employee file information up to date

Maintenance of office:

  • Sending out notices when CNVC will be closed for holidays, other special occasions, or emergencies
  • Ordering, maintaining office supplies
  • Receiving, opening, dating and distributing incoming postal mail.
  • Managing Petty Cash
  • Changing Server Back Up Tape
  • Serving as main contact and monitor of office cleaning service and general office/ building maintenance.

Qualifications/Performance Requirements; Knowledge, Skills and Abilities

  • Office equipment: Operating skills in use of general office equipment such as facsimile, multi line telephone systems, copier, etc. is required.
  • Computer skills: Must have working knowledge of general office operating software, i.e. word processing, database, and spreadsheet applications as well as e-mail and the Internet. Office currently using: Microsoft office: Word, Excel, Access and Quick Books
  • Interpersonal skills: Ability to respond to walk-in and telephone contacts and demonstrate excellent interpersonal skills to respond to a wide variety of people in a friendly, professional, and confidential manner.
  • Organization: Ability to organize work, problem solve, have multiple priorities and meet deadlines.
  • Attention to detail: Ability to attend to detail and complete work assignments in an accurate manner.
  • Productivity: Ability to work at a high rate of productivity and complete work in an accurate, timely and cooperative manner.

Education, Experience and Credentials:

  • Position requires a High School Diploma or equivalent and three years related work experience.
